The Platform provides a tech-enabled B2B and B2C transportation aggregation platform designed for the tourism trade—including travel agencies, boutique hotels, independent tour operators, concierges, and freelance tour leaders—as well as general retail passengers.
1.3. User Eligibility & Registration
● Age and Licensure: Users registering to rent or operate vehicles must be 18 years and above and possess a valid driving license where applicable.
● Account Accuracy: Users must provide accurate, current, and complete information during registration.
● Account Security: Users are solely responsible for maintaining the confidentiality of their account credentials and for all activities performed under their account.

2.1. Dynamic Fleet Options
The platform enables users to browse, filter, and instantly book vehicles categorized dynamically by brand (e.g., Toyota, BYD, Higer), seating capacities ranging from 4 to 72 seats (including specific 4, 7, 12, 16, 27, and 35-seater options), and classification plates (Red/Tourist, Black/Commercial, Green/Electric Vehicles).
2.2. Availability Variations
Vehicle availability, technical specifications, and interior configurations may vary depending on active partner listings and location.

3.1. Full Itinerary Configurations
The application booking engine allows users to seamlessly schedule single-day transfers or comprehensive, multi-day, multi-destination travel routes within a single, integrated workflow.
3.2. Multi-Vehicle Single Transactions
Industry professionals and retail clients can book, manage, and check out multiple distinct vehicles (e.g., configuring multiple vans and touring coaches simultaneously) under a single transaction reference ID.
3.3. Real-Time Schedule Validation
Immediately upon inputting the requested operational dates and hours, the background system validates the selected vehicle asset's schedule to prevent double-booking. An error will be thrown instantly if the timeline overlaps with a pre-existing block, prompting the choice of an alternative asset.
3.4. Automated Reservation Expiry Policy
● Inventory Protection: Stale or unconfirmed reservations lock up vehicle inventory, blocking other sellers and passengers from securing available fleets.
● Systemic Expiry Rule: If a booking has not been officially confirmed, paid, or approved by the platform administrator at the exact moment its scheduled "Booking Start Date and Time" arrives, the system will automatically flag the reservation status as Cancelled. The blocked vehicle will be immediately released back into the active general pool.
________________________________________4. PRICING, ESTIMATES, AND FINAL SETTLEMENT
4.1. Variable Rates
Pricing adjusts dynamically based on the specific vehicle model, destination parameters, seasonal demand, and the structural nature of the trip itinerary.
4.2. Estimated Pricing Mechanics
While executing a booking through the app or web portal, the system generates an initial Estimated Price. This estimate is calculated based on:
1. The projected total number of operational hours.
2. The total projected number of kilometers the vehicle runs. Note: Kilometers are systematically calculated to and from the vehicle's designated depot/garage to the requested passenger pick-up and drop-off points (dead mileage).
4.3. Advance Payment Mandate
To secure and firmly lock any vehicle reservation on the platform, an advance payment must be successfully executed based directly on the generated Estimated Price. A booking is confirmed only after successful payment confirmation.
4.4. Final Actuals Billing & Settlement
The initial estimation is not a fixed quote. Final billing will be calculated at the conclusion of the trip according to actual hours utilized and actual kilometers run (including dead mileage back to the depot/garage).
● Balancing Adjustments: Upon final calculation, a balancing settlement must occur. Any additional amount incurred beyond the estimate must be promptly paid by the user. Conversely, any surplus advance payment will be returned or refunded to the user to cleanly settle the final invoicing.
4.5. Payment Gateways & Financial Records
● Payment Methods: Payments must be executed via our integrated digital gateways (including full API workflows for eSewa and Khalti) or, where explicitly permissible, designated via Cash on Board options directly through certified ground hostesses.
● Payment Receipt: Upon the validation and capture of a successful payment, the user will automatically receive a digital Payment Receipt via push notification and email.
● VAT Invoice: Upon the final fulfillment and completion of the vehicle movement, the platform will auto-generate and deliver an official compliance VAT Invoice.
● VAT Mandate: All standard booking invoices will have Government VAT (13%) explicitly computed and applied at checkout.
________________________________________5. B2B REGISTERED SELLERS & AGENTS (HOTELS & CONCIERGES)
5.1. Seller Codes
Authorized sellers, concierges, and travel trade agents may utilize unique Seller Codes at checkout to earn instant trade commissions for successful ticket sales and bookings. When a registered seller logs into their dedicated portal account, this Seller Code is locked in and auto-filled by default.
5.2. Commission Payout Flow
Seller splits and commissions are calculated dynamically on the booking subtotal exclusive of VAT. Upon immediate payment capture from the passenger, the system routes the commission instantly into the seller's digital wallet profile.
________________________________________6. PARTNER VEHICLE VENDORS (FLEET LISTINGS)
6.1. Registration and Verification
Independent fleet owners and vehicle partners may register their vehicles on the platform by submitting all required statutory documents, vehicle registrations, and business details. The company reserves the absolute right to approve, suspend, or reject any vehicle listings.
6.2. Owner Remittance & Deductions
Following the successful completion of a scheduled vehicle movement, the backend system will settle the remaining balance with the vehicle owner. The automated remittance will pay the owner the gross earnings less the following deductions:
● The agreed platform service commission fee.
● The applicable seller/agent split (if booked via an agent).
● Standard government TDS deductions.
6.3. Dual Partner-Seller Capabilities
If an authorized vehicle partner also acts directly as the seller/agent for a booking, they may receive both the applicable seller commission and the vehicle rental earnings after standard platform deductions. Partners will receive a comprehensive, itemized Payment Slip detailing these precise financial adjustments for transparent accounting records.
________________________________________7. CANCELLATION, REFUNDS, AND LIABILITIES
7.1. Cancellation and Refund Policy
Cancellation and refund eligibility depend directly on booking timing, vehicle type, specific partner terms, and established company cancellation policies.
7.2. User & Partner Responsibilities
● Customers: Must use vehicles responsibly, safely, and in accordance with local traffic rules and transit laws.
● Partners: Must ensure listed vehicles are safe, mechanically sound, legally compliant, insured, and properly maintained at all times.
7.3. Limitation of Liability
The platform acts fundamentally as a tech-enabled facilitator between customers, business sellers, and vehicle providers. The company is not responsible for circumstances beyond its reasonable control, including but not limited to force majeure, acts of God, unexpected mechanical breakdowns, road closures, or external traffic delays.

8.1. Safety and Security Tracking

Active map tracking displays and location relays are strictly restricted to the exact day(s) and time boundaries authorized in the specific reservation agreement. Map tracking controls are programmatically locked out at all times outside of the active trip window to safeguard driver and vehicle privacy.

9.1. Interactive Feedback Authority
Upon the conclusion of an itinerary movement, both the passenger and the booking seller are granted full interactive authority to log performance reviews and ratings.
9.2. Community Standards
Users agree to provide truthful, respectful, and contextually accurate feedback regarding vehicle quality, logistics ease, and driver professionalism to ensure continuous service improvements across our network.
